Defining prompts for inspection aspects

To define prompts for inspection aspects:

  1. Open the Aspects form.
  2. Select the aspect for which to define prompts, and then click the Prompts tab.
  3. Click Add Prompt.
  4. Property—Enter the code identifying the property, and then enter a description of the property in the adjacent field.
    Note: You can define property codes and descriptions by creating custom fields.
  5. Upload Column—Enter the database column where the system stores prompt data.
  6. Sequence—Enter a number indicating the order in which the prompt appears on the Results page of the Monitored Data form.
  7. Default—Enter the default value that will automatically display on the Monitored Data form.
  8. Validate—Enter the code identifying the formula the system uses for validation for the prompt.
  9. Insert and Update—Enter the code identifying the formula the system uses to calculate values when you insert or update a record on the Monitored Data form. The system automatically populates the Length of the upload column.
  10. Length—Enter the maximum number of characters allowed for prompt values.
  11. Display—Select to indicate whether the system displays the prompt on the Monitored Data form.
  12. Mandatory—Select to indicate whether the prompt is a required field on the Monitored Data form.
    Note: If you select Mandatory, you must also select Display.
  13. Print—Select to indicate whether the system prints the prompt on the reports. These reports are user-defined.
  14. Uppercase—Select to indicate whether values for the prompt should be uppercase only.
  15. Out of Service—Select to indicate that the system does not use this prompt on this aspect.
  16. Click Submit.
